Canonical status meanings across Inventory areas.

Use these meanings consistently in day-to-day operations.

Stock catalogue state

  • Active: included in the normal stock catalogue, low-stock monitoring, and default catalogue exports. This state is managed on the stock-item form.
  • Inactive: retained in Stock, valuation, and history, but excluded from low-stock monitoring and default catalogue exports. Making an item inactive does not automatically end its existing Channel listings.
  • Low stock: derived signal based on available quantity and reorder level

Stock item listing status

The Stock catalogue derives listing status from current listing facts rather than from the stock catalogue state:

  • Live: at least one explicitly linked, confirmed live listing. The bold Live · N Channels link in the list and detail At a glance includes the number of distinct live Channels
  • Not live: no confirmed live listing, open listing draft, or unknown external Channel state
  • Draft only: an open listing draft exists, but there is no confirmed live listing or unknown external Channel state
  • Attention: an external published listing has an unknown runtime state, or an inactive stock item still has a confirmed live listing

Website listings are live when published. External listings are live only when their ChannelWeave lifecycle is published and their marketplace state is active. Scheduled, submitted, ended, archived, rejected, and unsold listings are not treated as live. The stored/API marketplace token remains active; listing badges and the Listings status filter present that state as Live so it is not confused with the separate Stock Active/Inactive catalogue control.

Bin types

  • Active: available for use
  • Inactive: hidden from normal assignment
  • System badge: reserved system-defined type

Low stock filtered view

Low stock is a calculated Stock catalogue filter, not a manually set lifecycle status or separate inventory form.

Purchase orders

  • Draft: editable header and lines
  • Open: ready for supplier issue, eligible line amendments, and receiving, with no received quantity yet
  • Partially delivered: some lines have been received, but outstanding quantity remains
  • Delivered: all remaining quantity is complete by receipt or short-close, or the order was explicitly closed as delivered
  • Cancelled: purchasing work on the order has been stopped

Suppliers

  • Active: available for selection on new purchase orders
  • Inactive: hidden from normal new-order selection, but still visible on linked historic purchase orders
